DUTIES AND RESPONSIBILITIES
Financial Record Keeping
- Record daily financial transactions accurately in the accounting system
- Maintain organized documentation for all receipts, invoices, payments, and vouchers
- Ensure timely posting of journal entries and ledger reconciliations
Preparation of Financial Reports
- Compile monthly, quarterly, and annual financial statements including income statements, balance sheets, and cash flow statements
- Generate management reports with financial analysis to support decision-making
- Track financial performance against budgets and highlight key variances
Accounts Payable & Receivable Management
- Process supplier invoices and ensure timely payments
- Follow up on outstanding invoices and manage customer account reconciliations
- Reconcile vendor and client statements regularly to avoid discrepancies
Bank & Cash Reconciliations
- Reconcile all bank statements with company records on a weekly and monthly basis
- Investigate and resolve any discrepancies in bank or cash transactions
- Manage petty cash and ensure proper controls are in place
Budgeting & Forecasting
- Assist in preparation and monitoring of company budgets
- Analyze spending patterns and suggest cost-saving measures
- Provide projections to guide financial planning and resource allocation
Tax Compliance & Statutory Returns
- Ensure timely and accurate filing of statutory returns including PAYE, SHIF, NSSF, VAT, and income tax
- Keep up-to-date with changes in tax legislation and advise management accordingly
- Liaise with KRA and other regulatory bodies as needed
Audit & Internal Controls
- Support external and internal audits by preparing schedules and responding to queries
- Ensure compliance with accounting standards and company policies
- Identify gaps in internal controls and recommend improvements
Software and Systems Management
- Utilize accounting software (e.g., QuickBooks, Sage, Tally) to enter data, generate reports, and maintain financial records
- Maintain digital and physical filing systems for financial documents
- Train and support other staff on basic use of financial systems where necessary
General Administrative Support
- Provide financial insights and recommendations to management
- Participate in departmental meetings and contribute to financial planning
- Perform any other related duties as assigned by management
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Minimum CPA Part II qualification
- At least 5 years’ experience in a similar role within a busy organization
- Proficiency in accounting software (e.g., QuickBooks, Sage, Tally, or similar)
- Strong understanding of Kenyan tax laws and financial regulations
- Excellent attention to detail and a high level of accuracy
- Good communication and interpersonal skills
- Ability to work independently and manage time effectively
