DUTIES AND RESPONSIBILITIES

Recruitment and Onboarding:

  • Support in the recruitment process by posting job vacancies, scheduling interviews, coordinating with the candidates and conducting background checks.
  • Schedule and coordinate interviews with hiring managers.
  • Assist in the onboarding processes of new employees, including preparing employment contracts and conducting orientations.

Employee Records and Odoo System Management:

  • Maintain and update employee records, such as, contracts, attendance and leave data in the HR software system, that is, Odoo system.
  • Ensure all HR documents are filed and accurately and confidentially.
  • Track employee attendance, leave, overtime and prepare summaries for payroll processing.
  • Prepare HR-related documents such as contracts, letters, memos and HR related reports.
  • Generate HR reports from the Odoo system as required by management.

Employee Relations and Welfare:

  • Respond to employee inquiries regarding HR policies and benefits.
  • Support in handling employee grievances and disciplinary matters as per the organizational policies.
  • Assist in the identifying of training needs and the implementation of training and development programs.
  • Assist in the implementation of staff welfare programs and activities.

Compliance & Policy Implementation:

  • Ensure compliance with labor laws and company policies.
  • Assist in developing and implementing HR policies and SOPs.
  • Support in conducting HR audits and ensure proper documentation for regulatory compliance.
  • Assist in health, safety, and environmental (HSE) initiatives within HR scope.

HR Administrative Support:

  • Prepare HR/Admin weekly and monthly purchases requisitions.
  • Coordinate HR meetings and prepare reports.
  • Support other HR functions as required.
  • Assist in the coordination and execution of HR related projects.
  • Any other duties as assigned to you by the management.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma in Human Resource Management or a related field
  • Minimum of 2 years of relevant work experience in HR and administrative support, preferably in a manufacturing industry
  • Familiarity with labor laws and HR best practices
  • Proficiency in MS Office (Word, Excel and PowerPoint)
  • Familiarity with HR software systems, preferably Odoo
  • Excellent communication skills and interpersonal skills
  • Excellent analytical, problem-solving and problem-solving skills
  • Strong attention to detail and highly organized
  • Ability to maintain confidentiality and handle sensitive information professionally
