DUTIES AND RESPONSIBILITIES
Recruitment and Onboarding:
- Support in the recruitment process by posting job vacancies, scheduling interviews, coordinating with the candidates and conducting background checks.
- Schedule and coordinate interviews with hiring managers.
- Assist in the onboarding processes of new employees, including preparing employment contracts and conducting orientations.
Employee Records and Odoo System Management:
- Maintain and update employee records, such as, contracts, attendance and leave data in the HR software system, that is, Odoo system.
- Ensure all HR documents are filed and accurately and confidentially.
- Track employee attendance, leave, overtime and prepare summaries for payroll processing.
- Prepare HR-related documents such as contracts, letters, memos and HR related reports.
- Generate HR reports from the Odoo system as required by management.
Employee Relations and Welfare:
- Respond to employee inquiries regarding HR policies and benefits.
- Support in handling employee grievances and disciplinary matters as per the organizational policies.
- Assist in the identifying of training needs and the implementation of training and development programs.
- Assist in the implementation of staff welfare programs and activities.
Compliance & Policy Implementation:
- Ensure compliance with labor laws and company policies.
- Assist in developing and implementing HR policies and SOPs.
- Support in conducting HR audits and ensure proper documentation for regulatory compliance.
- Assist in health, safety, and environmental (HSE) initiatives within HR scope.
HR Administrative Support:
- Prepare HR/Admin weekly and monthly purchases requisitions.
- Coordinate HR meetings and prepare reports.
- Support other HR functions as required.
- Assist in the coordination and execution of HR related projects.
- Any other duties as assigned to you by the management.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Human Resource Management or a related field
- Minimum of 2 years of relevant work experience in HR and administrative support, preferably in a manufacturing industry
- Familiarity with labor laws and HR best practices
- Proficiency in MS Office (Word, Excel and PowerPoint)
- Familiarity with HR software systems, preferably Odoo
- Excellent communication skills and interpersonal skills
- Excellent analytical, problem-solving and problem-solving skills
- Strong attention to detail and highly organized
- Ability to maintain confidentiality and handle sensitive information professionally
