DUTIES AND RESPONSIBILITIES

Transaction Processing:

  • Record daily financial transactions including purchases, sales, receipts, and payments.
  • Maintain and update ledgers, journals, and other accounting records accurately.
  • Ensure that all transactions are properly documented with corresponding invoices, receipts, or approvals.

Accounts Payable & Receivable:

  • Prepare supplier payment schedules and process vendor payments on time.
  • Match purchase orders with supplier invoices and delivery notes to ensure accuracy.
  • Follow up on outstanding customer invoices and maintain an up-to-date accounts receivable ledger.
  • Communicate with vendors and customers regarding payment queries and reconciliations.

Bank and Cash Reconciliations:

  • Reconcile company bank statements against internal records on a weekly and monthly basis.
  • Monitor petty cash usage and prepare replenishment reports with accurate documentation.
  • Assist in maintaining cash flow forecasts to support production and procurement planning.

Inventory and Cost Accounting:

  • Work with production and stores teams to monitor raw material usage and finished goods movement.
  • Support in maintaining accurate inventory records, including physical stock counts and valuation.
  • Assist in calculating and tracking production costs, wastage, and yield variances.

 

 

Payroll and Statutory Compliance:

  • Assist in processing staff payroll including overtime, deductions, and statutory contributions.
  • Prepare and submit statutory returns such as PAYE, SHIF, NSSF, VAT, and other relevant taxes.
  • Maintain proper employee records and support internal HR-finance coordination.

Financial Reporting & Analysis:

  • Support the preparation of monthly, quarterly, and annual financial reports and management accounts.
  • Assist in generating departmental cost reports and budget variance analysis.
  • Participate in budget preparation and expenditure monitoring.

Audit and Compliance Support:

  • Prepare audit schedules and provide necessary documentation for internal and external audits.
  • Ensure financial records comply with company policies and statutory regulations.
  • Maintain proper filing and safeguarding of financial and compliance documents.

Cross-Departmental Collaboration:

  • Work closely with procurement, production, and sales teams to ensure financial alignment with operations.
  • Provide accounting support during procurement planning and supplier negotiations.
  • Continuous Improvement:
  • Suggest process improvements in financial and inventory systems for greater efficiency and accuracy.
  • Stay updated with changes in accounting standards and tax laws relevant to the business.

General Administrative Support:

  • Provide general support to the finance department including document preparation, data entry, and internal reports.
  • Handle any other duties as may be assigned by the Finance Officer or Finance Manager.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma or Degree in Accounting, Finance, or a related field
  • Minimum 2 years of relevant accounting experience, preferably in a manufacturing or FMCG environment
  • Proficient in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Excel
  • Strong attention to detail and accuracy in data entry
  • Good organizational and communication skills
  • Ability to work independently and as part of a team
