DUTIES AND RESPONSIBILITIES

  • Manage daily front office operations including answering calls, receiving visitors, and handling correspondence.
  • Maintain organized filing systems (both digital and physical) for easy retrieval of company records.
  • Schedule appointments, meetings, and prepare related documentation.
  • Draft and proofread business correspondence, reports, and other official documents.
  • Support other departments in administrative and clerical tasks as needed.
  • Ensure all company documentation is up-to-date and aligned with Kenyan regulatory and compliance requirements.
  • Liaise with relevant regulatory bodies such as the Business Registration Service, KRA, NSSF, SHIF, NEMA, and other statutory authorities as needed.
  • Maintain compliance calendars and assist with timely filing of company returns, renewals, licenses, and permits.
  • Keep management informed of any new changes or updates in laws that may impact the business operations.
  • Monitor and manage office supplies inventory and place orders when necessary.
  • Coordinate maintenance and servicing of office equipment.
  • Support the HR function with filing employee documents and coordinating onboarding materials.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma or Degree in Business Administration, Office Management, Secretarial Studies, or related field
  • Minimum 2 years’ experience in an administrative or secretarial role
  • Demonstrated understanding of Kenyan operational and statutory compliance requirements
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
