DUTIES AND RESPONSIBILITIES

Inventory Management

  • Receive, inspect, and record all incoming stock and supplies.
  • Maintain accurate stock records using inventory management systems (manual and/or digital).
  • Conduct regular stock counts (daily, weekly, monthly) and reconcile physical stock with system records.
  • Monitor stock levels and notify management of low stock or replenishment needs in advance.

Stock Issuance and Documentation

  • Issue materials and supplies to departments based on approved requisitions.
  • Maintain a log of all goods issued, returned, or transferred, and update stock cards and inventory records.

Procurement Support

  • Liaise with the procurement and operations teams to ensure timely restocking of essential items.
  • Assist in verifying the accuracy and quality of deliveries against LPOs and invoices.
  • Report discrepancies or damaged goods to the relevant departments for follow-up.

Warehouse/Store Organization

  • Ensure the store area is clean, well-organized, and compliant with safety and hygiene standards.
  • Organize goods systematically for easy accessibility and efficient retrieval.
  • Enforce store policies to prevent unauthorized access, misuse, or pilferage.

Reporting & Compliance

  • Prepare periodic reports on stock movement, slow-moving items, shortages, and wastages.
  • Provide stock usage data to assist in budgeting, planning, and cost control.
  • Ensure full compliance with internal controls and inventory policies.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma in Procurement, Supply Chain Management, Logistics, or a related field
  • Minimum of 2 years’ experience in a similar role within an events company, hospitality industry, or busy work environment
  • Excellent knowledge of inventory management principles and systems
  • Strong organizational and time management skills
  • Leadership ability with a proactive and hands-on approach
  • High integrity, attention to detail, and accountability
  • Good communication and interpersonal skills
  • Competency in Microsoft Excel and basic storekeeping software or ERPs
