DUTIES AND RESPONSIBILITIES

  • Greet visitors and direct them to the appropriate departments or individuals, ensuring a friendly and professional reception at all times.
  • Answer incoming calls, provide general information, and route calls to the appropriate person or department.
  • Maintain the reception area, ensuring it is always tidy, organized, and welcoming.
  • Receive and distribute incoming mail and packages.
  • Maintain an up-to-date visitor log and assist with visitor registration as needed.
  • Provide exceptional customer service to visitors, clients, and employees, ensuring a positive experience from first contact.
  • Handle inquiries via phone, email, and in-person with professionalism and courtesy.
  • Schedule and coordinate appointments, meetings, and conference room bookings as required.
  • Maintain a friendly and professional demeanor, offering assistance where necessary.
  • Assist with administrative tasks such as filing, scanning, data entry, and managing office supplies.
  • Handle office correspondence, ensuring timely responses to emails and other communications.
  • Support office staff with various tasks as needed, including arranging meetings and preparing meeting materials.
  • Assist in managing the company’s social media accounts by posting updates, engaging with followers, and tracking social media interactions.
  • Help promote office events or company announcements via social media channels.
  • Support the marketing team in distributing promotional materials and assisting with basic marketing tasks.
  • Assist the sales team by handling customer inquiries and helping to schedule meetings with potential clients.
  • Provide basic support for marketing campaigns, including distributing marketing materials and assisting in event coordination.
  • Keep track of client interactions and support sales team efforts to increase customer engagement.

 

  • Answer and manage all incoming telephone calls, ensuring they are directed to the appropriate department or individual.
  • Maintain proper telephone etiquette, handling calls in a clear, polite, and professional manner.
  • Take and deliver accurate messages when necessary, ensuring follow-up on important matters.
  • Ensure the front office is fully stocked with necessary supplies, including stationery and brochures.
  • Assist with the coordination of office events, meetings, or company functions as required.
  • Manage visitor access and ensure safety protocols are followed.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree or Diploma in any field.
  • Minimum of 2 years of experience as a receptionist or in a front office role.
  • Excellent verbal and written communication skills, with the ability to interact professionally with clients, staff, and visitors.
  • Strong customer service orientation, with the ability to remain calm and professional in all situations.
  • Basic understanding of social media platforms (Facebook, Instagram, LinkedIn, etc.) and how they can be used for business purposes.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively.
