DUTIES AND RESPONSIBILITIES

Recruitment & Staffing:

  • Manage the recruitment process for farm workers, including advertising vacancies, screening, conducting interviews, and coordinating hiring procedures.
  • Ensure that the farm maintains a workforce that meets the required production and operational needs.

Employee Records & Documentation:

  • Maintain accurate employee records and documentation, including contracts, performance appraisals, training certifications, and personal details.
  • Ensure compliance with labor laws and farm regulations related to employment contracts and workers’ rights.

Payroll Management:

  • Process and oversee the timely and accurate disbursement of employee wages and salaries, including statutory deductions such as taxes and benefits.
  • Ensure compliance with relevant tax and labor laws related to payroll.
  • Employee Welfare & Benefits:
  • Implement and monitor employee welfare programs (health and safety protocols, leave management, insurance).
  • Promote a positive work environment, handling employee grievances and resolving workplace disputes effectively.

Training and Development:

  • Identify training needs for farm workers and staff and coordinate appropriate skill-building programs, particularly those relevant to the agricultural export sector.
  • Support the ongoing development of staff to improve productivity, quality, and efficiency.

Compliance & Policy Management:

  • Ensure compliance with labor regulations, health and safety standards, and environmental laws related to farm activities.
  • Develop and implement farm policies and procedures regarding employee conduct, safety, and operational standards.

Performance Management:

  • Coordinate employee performance appraisals and support managers in providing feedback, setting goals, and addressing performance issues.
  • Implement and monitor strategies to improve worker performance and reduce turnover.

Office Management:

  • Oversee the day-to-day administrative operations, including managing office supplies, equipment, and the coordination of internal communications.
  • Ensure that the farm's facilities and offices are well-maintained, organized, and in good condition.

Documentation & Reporting:

  • Ensure proper documentation and filing of all administrative and HR records.
  • Prepare reports on HR metrics, employee attendance, payroll, and any other administrative areas as required by senior management.

Export Documentation & Compliance:

  • Ensure all necessary documentation for farm produce exports (e.g., certificates of origin, phytosanitary certifications, export permits) are completed and compliant with export regulations.
  • Liaise with relevant authorities and ensure that all records related to agricultural exports are accurate and up to date.

Health & Safety Management:

  • Monitor and enforce farm safety and health regulations, ensuring a safe working environment for all employees, especially in agricultural operations.
  • Manage the implementation of the farm's safety protocols, such as hazard identification, risk assessments, and emergency procedures.

Transport and Logistics Coordination:

  • Coordinate the logistics for the delivery of farm produce to the export facilities, ensuring proper transportation arrangements are in place.
  • Liaise with logistics providers, customs officers, and other relevant agencies to facilitate smooth export operations.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Human Resources, Business Administration, Agriculture, or a related field
  • Minimum of 3 years of experience in HR and administrative functions, preferably in a farm that exports agricultural produce
  • Experience working in a farm environment and managing a large, diverse workforce, with an understanding of farm operations.
  • Strong knowledge of labor laws and HR practices in Kenya.
  • Proficiency in HR software and MS Office Suite (Excel, Word, etc.).
