JOB SUMMARY
The Inventory Manager is responsible for managing the company’s inventories, including raw materials, packaging materials, and finished goods. This role encompasses maintaining accurate documentation, overseeing efficient warehouse operations, and coordinating closely with the production team to meet business needs. The Inventory
Manager ensures compliance with internal control standards, implements proper inventory accounting practices, and delivers timely reporting. Additionally, the role involves leading initiatives to minimize inventory losses and supervising inventory-related staff to ensure optimal performance and operational efficiency.
DUTIES AND RESPONSIBILITIES
- Inventory Management and Accounting:
Agricultural Product Inventory:
- Oversee the agricultural product inventory at collection centres and the factory, ensuring timely and accurate tracking of stock levels.
- Ensure all agricultural product sourcing processes are documented efficiently and accurately at all locations.
- Maintain accurate recording of agricultural product’s sourced, ensuring heap data is correctly maintained.
- Minimize errors in documentation and reporting related to agricultural product inventory.
Packaging and Finished Goods Inventory:
- Manage inventory processes for packaging materials and finished goods stored at the factory.
- Ensure adherence to FIFO (First In, First Out) principles and internal stock movement protocols for all products.
General Inventory Management:
- Conduct and organize regular physical stock counts for raw materials, packaging materials, and finished goods.
- Maintain organized and orderly warehouses, ensuring inventory records are up-to-date and accurate.
- Investigate and resolve any discrepancies in inventory counts promptly.
- Monitor stock levels to ensure optimal availability and prevent overstocking or stockouts.
- Warehouse Operations
- Oversee warehouse activities to ensure proper handling, storage, and movement of inventory.
- Establish and enforce standard operating procedures (SOPs) for inventory management.
- Ensure that the warehouse environment complies with safety, cleanliness, and organizational standards.
- Staff Management
- Supervise warehouse and inventory personnel, including receiving clerks and data entry clerks, ensuring adherence to established procedures.
- Provide training and development to warehouse staff to improve efficiency and compliance.
- Assign responsibilities and monitor performance to ensure alignment with operational goals.
4.Coordination with Other Teams
- Collaborate with the production team to align inventory levels with production requirements, ensuring a consistent supply of raw materials.
- Work closely with procurement to ensure timely replenishment of materials.
- Centralize communication between departments, handling order acceptance, tracking production progress, and reporting shortages or delays.
- Monitor and maintain minimum stock levels, flagging restocking needs to ensure two weeks' inventory coverage.
- Audits and Compliance
- Conduct periodic audits of inventory to ensure accuracy and adherence to documented records.
- Oversee and document regular physical inventory counts, reconciling variances and reporting findings to management.
- Ensure compliance with all company policies and procedures related to inventory control and warehouse operations.
- Continuous Improvement
- Identify and recommend process improvements to enhance inventory accuracy and reduce losses.
- Implement best practices in inventory lifecycle management to optimize efficiency.
- Utilize technology and inventory management systems to streamline operations and improve visibility.
- Reporting
- Prepare and distribute weekly and monthly inventory reports, providing insights into stock levels, movements, and variances.
- Monitor inventory trends and provide actionable recommendations to management.
- Support operational planning by providing data on inventory availability and turnover rates.
Additional Responsibilities:
- Product Costing: Ensure proper product costing methods are applied, review and update bills of materials as required, and analyze cost variances.
- Leadership and Mentoring: Supervise and mentor inventory staff, fostering a strong, collaborative team environment.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Bachelor’s degree in Supply Chain Management, Accounting, Business Administration, or a related field.
- Professional certifications such as Certified Supply Chain Professional (CSCP, CPA, or equivalent are a plus.
- Proven experience (3+ years) in inventory management, warehouse operations, or supply chain management.
- Experience in managing inventories of raw materials and finished goods in a manufacturing or FMCG environment.
- Familiarity with agricultural supply chains and perishable goods handling is highly desirable.
- Proficiency in inventory management systems (e.g., SAP, Tally, Oracle, or similar ERP software).
- Strong knowledge of warehouse operations, stock management, and FIFO principles.
