DUTIES AND RESPONSIBILITIES
Export and Import Documentation Management
- Prepare and verify all shipping and customs documentation (commercial invoices, packing lists, certificates of origin, etc.) for grooming products, pet accessories, and consumables.
- Ensure documentation complies with Kenya Revenue Authority (KRA), KEBS, and international trade regulations.
- Liaise with freight forwarders, shipping lines, and customs brokers to facilitate seamless product importation and exportation.
- Track shipments and resolve any customs delays or clearance issues efficiently.
Operational Support & Logistics Coordination
- Oversee the day-to-day logistical operations of the grooming center, ensuring timely availability of tools, consumables, and grooming products.
- Monitor stock levels, raise procurement requests, and ensure restocking without interrupting service delivery.
- Coordinate with suppliers and vendors for timely delivery of goods and services.
- Support the grooming team by maintaining a clean, organized, and well-equipped workspace.
Training Coordination and Facilitation
- Organize and schedule staff training programs for grooming, customer service, safety protocols, and product knowledge.
- Coordinate with external trainers, vets, or grooming experts for workshops and certifications.
- Track training attendance, gather feedback, and ensure compliance with internal grooming standards.
- Maintain training records and help new hires integrate into the operations smoothly.
Process Improvement & Compliance
- Identify areas of operational inefficiency and suggest improvements to streamline workflows and reduce costs.
- Ensure compliance with occupational safety standards, especially in handling grooming chemicals, animal hygiene, and waste disposal.
- Regularly audit operations for adherence to standard operating procedures (SOPs).
Internal & External Communication
- Act as a central liaison between grooming staff, management, suppliers, logistics partners, and government agencies.
- Handle escalations related to supply chain issues or product/service disruptions.
- Provide timely updates on operational activities, inventory status, and shipment tracking.
- Prepare weekly and monthly operations reports for management review.
Customer & Service Support (as needed)
- Occasionally assist in front-office coordination or client queries during peak periods or staff shortages.
- Ensure that customer feedback related to products, delays, or service standards is communicated and resolved promptly.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Business Administration, Logistics, Supply Chain Management, or a related field
- Minimum 3 years of experience in export/import documentation and operational support
- Strong understanding of logistics and supply chain procedures
- Experience in coordinating or facilitating training programs is a plus
- Excellent communication and interpersonal skills
- Highly organized, detail-oriented, and proactive
