DUTIES AND RESPONSIBILITIES
Procurement Planning and Strategy Development:
- Formulate and execute procurement strategies aligned with the company’s goals, ensuring the sourcing of high-quality goods and services at the most competitive prices.
- Work with relevant departments to forecast demand and plan procurement activities in advance, ensuring that all purchases align with operational needs and company budgets.
Vendor Management and Negotiation:
- Identify potential suppliers, evaluating them on factors such as cost, quality, and reliability.
- Lead negotiations with suppliers to obtain favorable terms in pricing, payment schedules, and delivery timelines.
- supplier performance regularly and resolve any issues related to quality, delivery delays, or other challenges, ensuring continued value for the company.
Purchase Order and Inventory Management:
- Manage the creation, approval, and tracking of purchase orders, ensuring timely procurement and delivery of goods and services.
- Monitor inventory levels and collaborate with the warehouse team to ensure stock is maintained at optimal levels. Identify slow-moving stock and recommend actions to minimize excess inventory.
- Ensure prompt and accurate delivery of ordered goods and services. Communicate with logistics teams to ensure seamless coordination of deliveries.
Budgeting and Cost Management:
- Continuously assess and monitor the cost of procurement activities, seeking opportunities for cost reduction without compromising on quality or operational efficiency.
- Work closely with the finance department to ensure procurement activities align with budgetary constraints. Prepare procurement cost reports for senior management’s review.
- Suggest and implement innovative procurement methods, process improvements, or alternative suppliers that can help reduce procurement costs.
Compliance and Risk Management:
- Ensure that all procurement activities comply with legal and ethical standards, as well as internal policies and procedures.
- Identify potential risks in the supply chain, including supplier failure, delivery delays, and price volatility, and develop mitigation strategies.
- Maintain detailed and organized records of procurement activities, including purchase orders, invoices, contracts, and supplier communications, for audit and compliance purposes.
Reporting and Documentation:
- Prepare procurement reports detailing expenditures, savings, supplier performance, and any key issues. Present findings to senior management to inform decision-making.
- Use procurement data and analytics to identify trends, potential cost-saving opportunities, and areas for supplier optimization.
ERP and Technology Use:
- Utilize the company's ERP system (e.g., SAP, Oracle) to manage purchase orders, track inventory, and ensure accurate and real-time reporting.
- Regularly assess and recommend improvements to the ERP system to ensure it supports procurement functions effectively.
Training and Development:
- Mentor junior procurement staff, providing guidance on best practices and company procedures.
- Stay updated on procurement trends, new technologies, and industry developments, applying this knowledge to enhance the procurement process.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Procurement and Supplies Management or any related field.
- Minimum of 2 years of experience in procurement, preferably within a tech company or similar industry.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Knowledge of ERP systems and their functionality (e.g., SAP, Oracle, etc.).
- Experience in procurement within the technology or related sector.
- Proficiency in inventory management software and ERP operations.
