DUTIES AND RESPONSIBILITIES
- Coordinate and schedule routine and emergency maintenance services for properties under management.
- Liaise with contractors, repairmen, and vendors to ensure that maintenance tasks are completed in a timely and cost-effective manner.
- Conduct regular property inspections to identify maintenance issues and ensure that properties are well-maintained.
- Act as the first point of contact for tenants, addressing concerns, queries, and complaints in a professional and timely manner.
- Ensure tenants receive prompt responses regarding maintenance requests, service inquiries, and general issues.
- Manage tenant move-ins and move-outs, ensuring smooth transitions and proper documentation.
- Assist in processing tenant applications and ensuring that all necessary paperwork is completed accurately and efficiently.
- Maintain accurate records of tenant details, lease terms, rent payments, and other property-related documents.
- Ensure that lease renewals, terminations, and other administrative tasks are processed correctly.
- Assist the Property Manager in marketing available properties by creating compelling property listings, managing online advertisements, and conducting property showings.
- Collaborate with the team to ensure the properties are always in good condition for viewing by potential tenants.
- Track and assist in the collection of rental payments and other dues from tenants, ensuring they are received on time.
- Maintain accurate records of rent payments, late fees, and other financial transactions related to properties.
- Assist in the preparation of financial reports and property performance summaries for management.
- Develop and maintain strong relationships with tenants, ensuring high levels of satisfaction and retention.
- Address tenant complaints or disputes and escalate issues to the Property Manager when necessary.
- Monitor tenant compliance with lease terms and take appropriate action for violations when required.
- Ensure that all properties comply with local housing laws, health and safety standards, and other relevant regulations.
- Assist in the preparation and filing of documentation required for regulatory compliance.
- Stay updated on changes to local property laws, regulations, and industry standards to ensure compliance.
- Prepare weekly or monthly reports for management on property performance, occupancy levels, maintenance issues, and tenant matters.
- Maintain detailed logs of property maintenance, including repairs, inspections, and improvements.
- Assist in managing property budgets, ensuring that expenses are tracked and within budget.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Real Estate Management, Property Management, or a related field.
- Minimum of 3 years of experience in property management or real estate operations.
- Strong organizational and communication skills.
- Ability to multitask and handle multiple responsibilities simultaneously.
- Knowledge of property management software and systems.
- Good understanding of property laws and regulations in Kenya.
- Proactive problem-solving skills with attention to detail.
