DUTIES AND RESPONSIBILITIES
- Oversee and manage a portfolio of residential and commercial properties, ensuring their efficient operation and profitability.
- Set strategic objectives for each property, working to maximize rental income, minimize vacancies, and maintain property values.
- Develop and implement long-term property management strategies that align with the company's overall goals.
- Provide leadership, training, and development opportunities for team members to ensure high performance and skill growth.
- Conduct regular team meetings to discuss property-related matters, challenges, and solutions.
- Establish and maintain strong relationships with tenants, addressing concerns or issues in a proactive and professional manner.
- Resolve tenant complaints and disputes, using negotiation and conflict resolution skills to maintain positive relationships.
- Oversee lease negotiations, renewals, and rent increases in line with market trends and company policies.
- Ensure all tenant communications are clear, timely, and professional.
- Manage the financial aspects of the properties, including budget preparation, rent collection, and cost control.
- Ensure timely collection of rent and other fees, following up on late payments and enforcing lease terms as needed.
- Prepare and present financial reports on the performance of each property, including income, expenses, and profitability.
- Oversee the budgeting process for property maintenance, repairs, and other operational costs to ensure financial efficiency.
- Oversee the maintenance and operational aspects of properties, ensuring that they are well-maintained and meet health, safety, and aesthetic standards.
- Work with contractors, vendors, and maintenance teams to address any maintenance or repair needs across the properties.
- Conduct regular inspections of properties to identify potential issues before they escalate and ensure compliance with all safety and regulatory standards.
- Lead marketing and leasing efforts to attract new tenants and ensure high occupancy rates.
- Oversee the creation of property listings, online advertisements, and promotional materials.
- Manage property showings and tours, ensuring that properties are presented in the best light to potential tenants.
- Conduct market research to stay competitive on rental pricing, property features, and tenant demand.
- Ensure that all properties are compliant with local property laws, building codes, and safety regulations.
- Stay up to date with changes in the real estate industry, including new laws, regulations, and best practices.
- Implement risk management strategies to protect properties, tenants, and the company from potential liabilities.
- Provide regular reports to senior management, highlighting key performance indicators such as occupancy rates, financial performance, and maintenance issues.
- Analyze market trends and property performance to recommend improvements and adjustments to the property portfolio.
- Assist in the strategic planning process for acquiring or selling properties, improving operational efficiency, or increasing profitability.
- Oversee the tenant onboarding process, ensuring all necessary paperwork is completed and all tenant concerns are addressed.
- Coordinate move-out procedures, including property inspections, security deposit handling, and lease terminations.
- Ensure smooth transitions for new tenants and ensure compliance with move-in and move-out procedures.
- Develop and implement emergency response protocols for the properties under management, ensuring tenants and property assets are protected during emergencies.
- Act as the first point of contact in the event of property-related crises or emergencies, taking necessary action to resolve issues quickly and effectively.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Real Estate, Property Management, or a related field.
- A minimum of 5 years of experience in property management, with at least 2 years in a supervisory or management role.
- Strong leadership, organizational, and problem-solving skills.
- In-depth knowledge of property management processes and tenant relations.
- Proficient in property management software and systems.
- Solid understanding of property laws and regulations in Kenya.
- Excellent communication and negotiation skills.
- Strong financial management skills with the ability to work within budgetary constraints.
- Ability to manage multiple properties and projects simultaneously.
