DUTIES AND RESPONSIBILITIES
Inventory Monitoring & Management
- Continuously track and monitor stock levels to ensure optimal inventory levels are maintained across all storage locations.
- Identify and report on stock discrepancies, damages, expiries, or loss, and recommend corrective action.
- Update stock records accurately in the inventory management system (ERP) in real-time to reflect actual inventory status.
Stock Movement Recording
- Accurately document all inbound (receiving), outbound (dispatch), and internal stock movements (transfers, adjustments).
- Ensure all goods received are properly counted, inspected, labeled, and entered into the ERP system.
Stock Reconciliation & Auditing Support
- Conduct regular stock reconciliations, including cycle counts and periodic physical stock takes.
- Investigate variances between physical and system stock and implement solutions to prevent recurrence.
- Assist in preparing and supporting internal and external stock audits, ensuring full compliance with audit requirements.
Reporting & Documentation
- Prepare daily, weekly, and monthly inventory reports, including stock valuation, usage trends, reorder alerts, and aging reports.
- Maintain accurate and up-to-date records of all inventory transactions and activities for reference and compliance.
ERP and System Management
- Operate and maintain the ERP inventory module (preferably Microsoft Dynamics Navision or similar systems).
- Generate system-based inventory reports and assist with system upgrades, testing, or implementation of new features.
Stock Organization & Housekeeping
- Ensure all stock is correctly labeled, shelved, and organized based on product type, batch, and expiry.
- Maintain a clean, safe, and orderly warehouse or stockroom environment in line with safety standards.
Collaboration & Communication
- Liaise with procurement, sales, and warehouse staff to coordinate stock replenishment and dispatch needs.
- Notify relevant departments of stock shortages, delivery delays, or supply issues that could impact operations.
Inventory Controls & Compliance
- Implement and enforce inventory control procedures to reduce waste, obsolescence, and theft.
- Ensure compliance with company policies, health and safety regulations, and relevant industry standards.
Process Improvement
- Continuously identify areas for improvement in stock management practices and suggest process enhancements.
- Support the development and implementation of best practices in inventory management.
Product Lifecycle Monitoring
- Track slow-moving, obsolete, or soon-to-expire products and initiate clearance, redistribution, or disposal processes as necessary.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Warehouse Management, Logistics, Business Administration, or a related field
- At least 1–2 years of relevant experience in stock control or inventory management
- Proficiency in using ERP systems (experience with Navision is a strong advantage)
- Strong computer literacy, particularly in MS Excel and inventory software
- Good understanding of stock control principles and supply chain processes
