JOB SUMMARY
The Tender Officer will be responsible for managing the tendering process within the company. This role involves compiling and preparing tender documents, identifying pre-qualifications, drafting proposals, and ensuring timely submissions. The ideal candidate will have strong organizational skills, attention to detail, and the ability to communicate effectively.
DUTIES AND RESPONSIBILITIES
Tender Management:
- Oversee the entire tendering process from initiation to submission.
- Ensure all tender documents are compiled accurately and in accordance with specified requirements.
Document Preparation:
- Collect and organize necessary documents, including technical specifications, financial statements, and compliance certifications.
- Draft and review written content for proposals, ensuring clarity and persuasiveness.
Prequalification and Research:
- Identify and assess prequalification criteria for tenders to ensure compliance and competitiveness.
- Conduct market research to identify upcoming tender opportunities relevant to the company’s services and capabilities.
Submission and Follow-up:
- Ensure timely submission of tenders by managing timelines and coordinating with relevant departments.
- Follow up with clients and stakeholders for feedback on submitted tenders, addressing any queries or additional requirements promptly.
Collaboration:
- Work closely with various departments, including finance, operations, and project management, to gather necessary information and support tender submissions.
- Collaborate with external stakeholders, such as clients and consultants, to facilitate the tender process.
Compliance and Record Keeping:
- Maintain an organized database of all tender documents, submissions, and feedback for future reference and audit purposes.
- Ensure compliance with company policies and industry regulations throughout the tendering process.
Continuous Improvement:
- Analyze past tender submissions to identify areas for improvement.
- Stay updated on industry trends and best practices in tendering to enhance the company’s competitive edge.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Proven experience in tender management or a similar role.
- Strong writing, editing, and presentation skills.
- Excellent organizational and time management abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Strong attention to detail and the ability to work under pressure to meet deadlines.
