DUTIES AND RESPONSIBILITIES

Administrative Support:

  • Provide comprehensive administrative support to the College Principal, faculty, and staff.
  • Oversee daily operations and ensure all office functions are executed smoothly.
  • Maintain and update college records, student data, and academic schedules.
  • Manage college correspondence and communication, including emails, memos, and phone calls.

Student & Faculty Interaction:

  • Act as a primary point of contact for students, faculty, and staff for all administrative and academic queries.
  • Assist students with course registration, scheduling, and other academic inquiries.
  • Maintain and update student records in compliance with relevant policies and regulations.
  • Ensure faculty members are supported with necessary administrative resources for teaching and research.

Academic Procedure Management:

  • Facilitate the development, implementation, and adherence to academic policies and procedures.
  • Ensure that academic calendars are maintained, and courses are scheduled properly.
  • Support academic assessments, grading, and transcript management.
  • Assist in the coordination of student orientations, graduations, and other academic events.

Financial and Budget Management:

  • Assist in preparing and managing the college budget for administrative functions.
  • Monitor and track expenditures related to college operations, ensuring alignment with financial plans.
  • Oversee procurement of office supplies, resources, and other materials as required.

Compliance & Reporting:

  • Ensure compliance with college policies, local regulations, and academic standards.
  • Prepare reports on academic and administrative performance for senior management and regulatory bodies.
  • Coordinate audits, reviews, and accreditation processes as required.

Team Collaboration & Leadership:

  • Work closely with department heads and other administrative teams to ensure collaboration and smooth operation of interdepartmental processes.
  • Supervise and provide guidance to administrative staff members and student assistants.
  • Contribute to continuous improvement initiatives for better service delivery and operational efficiency.

Event Planning & Coordination:

  • Organize academic and administrative events, such as student orientations, graduation ceremonies, staff meetings, and faculty workshops.
  • Ensure event logistics, budgeting, and coordination are carried out effectively and efficiently.

Technology & Systems Management:

  • Oversee the college’s administrative software systems, ensuring efficient and accurate data management.
  • Assist with the implementation and maintenance of new technologies to streamline administrative processes.
  • Provide support in managing online learning platforms and communication tools for students and faculty.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Education, Business Administration, or a related field
  • 3-5 years of experience in an administrative role, preferably within an academic or educational institution
  • Strong organizational and time-management skills.
  • Knowledge of student records management, academic scheduling, and academic policies.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and administrative software tools.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to work under pressure and manage multiple tasks simultaneously.
