DUTIES AND RESPONSIBILITIES

Supplier Management:

  • Identify, evaluate, and manage suppliers for various farm inputs, including seeds, fertilizers, pesticides, packaging materials, and equipment.
  • Build and maintain strong relationships with key suppliers, ensuring timely deliveries and favorable terms, especially those related to the export of avocados, herbs, or horticultural produce.
  • Negotiate prices and contracts to secure the best possible deals while maintaining quality standards.

Purchase Orders and Inventory Management:

  • Prepare and issue purchase orders based on farm needs and inventory levels.
  • Ensure that all required goods are ordered in a timely manner to meet farm production schedules and export deadlines.
  • Monitor inventory levels of key items (seeds, chemicals, tools, etc.) to avoid stockouts or overstocking.

Product Quality Control:

  • Work closely with farm management and quality control teams to ensure that the procured products (such as fertilizers, irrigation systems, packaging materials) meet the farm's quality standards for both local and export markets.
  • Oversee the proper storage of purchased materials and ensure compliance with health and safety standards.

Export Compliance and Documentation:

  • Ensure that all materials, inputs, and supplies comply with local and international standards, including the requirements for exporting horticultural products like avocados and herbs.
  • Handle export-specific procurement documentation, including invoices, export permits, and compliance certifications for agricultural products.
  • Maintain awareness of export market requirements and ensure that materials required for exporting horticultural produce meet international standards (e.g., packaging for export, pest control, and phytosanitary standards).

Logistics and Shipping Coordination:

  • Coordinate with suppliers and logistics providers to ensure the timely and efficient transportation of goods to meet harvest and export schedules.
  • Ensure that packaging and labeling of products meet the standards required for the international market.

Cost Management and Budgeting:

  • Monitor procurement budgets, ensuring that spending aligns with approved budgets for farm inputs and operational costs.
  • Provide cost analysis and report on procurement expenditures, highlighting areas for cost reduction without compromising quality.

Risk Management:

  • Identify potential risks in the procurement process, including price fluctuations, supply chain disruptions, or delays in the export process.
  • Develop contingency plans to address potential supply chain challenges, especially those related to perishable goods like avocados and herbs.

Market Research and Analysis:

  • Conduct market research to identify new suppliers, better prices, and alternative sourcing options, ensuring competitiveness in the market.
  • Keep updated on trends in agricultural procurement, export markets, and commodity pricing to provide insights that support procurement strategies.

Procurement Reports:

  • Prepare and present regular reports on procurement activities, including costs, supplier performance, and inventory levels.
  • Ensure that all procurement activities are recorded accurately in the farm’s procurement system and maintain proper documentation for auditing purposes.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Procurement and Supply Chain Management, Agriculture, Business Administration, or a related field
  • At least 3-5 years of experience in procurement, particularly in the agriculture sector, with a focus on horticultural products (avocados, herbs, etc.) and export-related procurement
  • Experience working in a farm or agribusiness that deals with export of produce
  • Understanding of export regulations and documentation, especially related to the export of horticultural produce
  • Strong negotiation skills and experience managing supplier relationships.
  • Knowledge of procurement processes, contract management, and logistics.
