DUTIES AND RESPONSIBILITIES
Inventory Management:
- Oversee the complete stock management process from receiving goods to distributing them to the relevant departments.
- Ensure that stock is stored appropriately and in a manner that minimizes waste and ensures easy access.
- Track stock usage and identify trends to forecast demand and order stock accordingly.
Stock Control & Record Keeping:
- Maintain accurate and up-to-date records of all stock transactions, including goods received, used, and transferred.
- Implement a robust stock control system, ensuring that stock levels are consistent and inventory data is accurate.
- Conduct weekly or monthly stock reconciliations and generate detailed reports for management review.
Cost Control & Budget Management:
- Collaborate with the finance department to ensure inventory spending aligns with the hotel’s budget and cost control measures.
- Assist in cost analysis and reporting, highlighting areas for cost reduction or improvement.
- Implement and monitor stock rotation policies (FIFO) to reduce spoilage, especially for perishable goods.
Supplier Coordination & Relationship Management:
- Establish and maintain effective relationships with suppliers, ensuring timely deliveries and quality of products.
- Negotiate prices and delivery terms with suppliers to obtain the best possible deals for the hotel.
- Ensure that all incoming goods are checked for quality, accuracy, and condition upon arrival and match the order specifications.
Stock Reporting & Analysis:
- Generate detailed inventory and expenditure reports for financial analysis and decision-making.
- Highlight any potential stock shortages or overstock issues that could affect hotel operations or lead to excess costs.
- Provide monthly forecasts to ensure that orders are placed in time to meet the operational demands.
Health & Safety Compliance:
- Ensure compliance with health and safety regulations by maintaining the proper storage conditions for all items, particularly food, beverages, and hazardous materials.
- Conduct periodic checks to ensure that the storage area is clean, organized, and free from safety hazards.
Team Support & Collaboration:
- Work closely with other departments such as procurement, food and beverage, housekeeping, and kitchen teams to ensure smooth stock flow and timely replenishment.
- Provide guidance and support to staff involved in stock-related duties, ensuring that processes are followed correctly.
Stock Forecasting & Planning:
- Monitor usage patterns and historical data to anticipate the hotel’s future stock requirements and forecast demand accurately.
- Develop and implement inventory forecasting models to ensure optimal stock levels, reducing the likelihood of stock outs or overstocking.
Technology & Software Management:
- Utilize stock control software and systems for inventory tracking, ensuring accurate updates and effective management of stock levels.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Procurement, Supply Chain Management, Logistics, or a related field
- Minimum of 2-3 years of experience in stock management, inventory control, or procurement, preferably in a hotel, restaurant, or distributor environment
- Strong understanding of stock control procedures, inventory management, and cost management
- Proficiency in using stock management software (e.g., SAP, Oracle, or other inventory systems)
- Ability to identify and implement cost-saving measures while maintaining stock quality
- Strong numerical and analytical skills for managing stock levels, ordering, and budgeting
- Good negotiation and supplier management skills to secure favorable terms
- Excellent communication and interpersonal skills
- Attention to detail with a focus on accuracy and organization
